Overcoming Challenges in Business Process Management

Updated: Oct 17, 2023

At its core, process management is about order and efficiency. We often describe it as the logical grouping and sequencing of activities to achieve specific objectives. Yet, in the hustle and bustle of daily operations, it’s easy for processes to become convoluted or even omitted. This lack of process maturity can be a silent antagonist, obstructing a company’s ability to scale effectively and operate efficiently. As processes become more complex, the company’s ability to quickly adjust to change and thrive is often placed at risk.

In industries like wholesale and retail, process management is more than just a theoretical exercise. Think of HR departments handling intricate payroll processes and ensuring regulatory compliance. Or consider operations, where a minor process mishap can spiral into a domino effect leading to poor customer experience. Poor process management in these areas not only exposes the company to non-compliance issues but can also tarnish a brand’s reputation and trustworthiness in the eyes of customers.

There are important questions that often get overlooked as teams set their business goals. Do you have a designated process owner (governance) and manager? Are your processes diligently documented? And if so, are they stored in a location easily accessible to those who need them? Are your processes streamlined and simple enough for anyone to understand and update? Does a logical connection exist between your processes and broader organizational objectives?

Why is answering these questions crucial? Because they’re the bedrock of building resilient, scalable organizations. Identifying process owners and managers provides accountability. Clear documentation ensures continuity, even in the face of staff changes. Easy accessibility means swift action and fewer delays. Simplicity ensures processes are not just on paper but are practiced. And by aligning processes with broader goals, you ensure that every action taken moves the company closer to its overarching objectives.

Imagine a wholesale company, “Acme, Inc.” They experienced a surge in demand due to a successful marketing campaign. Thanks to their strong process management, instead of buckling under the pressure, they thrived. The process owner quickly made decisions on procurement, while the manager ensured suppliers met quality standards. Their well-documented and accessible processes enabled swift onboarding of temporary staff to manage the surge. Employees, both old and new, could easily understand and execute processes, ensuring customers received their orders on time and to satisfaction. By connecting every process to the broader goal of customer satisfaction, “Acme, Inc.” turned what could have been a chaotic period into a resounding success story.

In conclusion, while process management might seem mundane or overly technical to some, its importance cannot be overstated. It’s not just about doing things right but doing the right things in a way that’s repeatable, scalable, and aligned with the company’s goals. Embracing effective process management is embracing a future where challenges are met with preparation, agility, and resilience. The question isn’t whether you should prioritize process management, but rather, can you afford not to?
